PURPOSE Responsible for coordinating projects, programs and events related to SEMA volunteer groups and the Membership Department. Serve as liaison for SEMA Councils and Networks and our volunteer communities. Assist with the oversight of Membership-related functions, booths and lounges at the annual SEMA Show. Provide support to the Dept VP and Council liaisons, as needed.
RESPONSIBILITIES AND AUTHORITY Serve as project specialist, as necessary, to ensure the project toolkits are used as a strategic resource for all program and event planning, execution and evaluation. Schedule and assist with the implementation of kick-off meetings to help set project goals (when necessary), staff roles and responsibilities, timelines and outcomes. Ensure project toolkits are developed and/or updated for all Council and Membership projects. Oversee Basecamp as the Councils and Membership departments’ resource for coordinating projects, timelines and documentation. As a junior liaison to the councils and networks: Work with the volunteer leadership to identify and address issues and challenges related to the industry or professional segment. Facilitate monthly select committee and subcommittee teleconferences as well as planning meetings, including developing agendas and other relevant affairs common to council meetings. Coordinating the annual Council election and award processes, including: Establishing timelines and ensuring that the process and tools are prepared and launched according to standard operating procedures (SOPs) and project plans. That where and when necessary, recommended changes and ongoing improvement are offered and considered. Coordinating data-tracking efforts for the Councils and Membership departments, including: Maintaining The MERC (Memberships, Education, Research, & Councils) Dashboard and distribute to the department on a quarterly basis. Coordinating data related to Council and Membership project performance, member engagement and trending over time. Benchmarking and analyzing marketing efforts, including tracking delivery, open rates, click-throughs, etc. to ensure that the Council and Membership team have accurate data to make the best decisions regarding the future of their projects. In partnership with the Council liaisons and Membership team, assist with the coordination of critical and large-scale department programs, including Launch Pad, Media Trade Conference, Member Lounges, etc. Responsible for the creation of registration and feedback platforms for Council and Membership events, programs and surveys using such tools as Eventbrite, SurveyMonkey and Formsite. Be knowledgeable on all member benefits, programs and services offered by the association. Assist with maintenance of Council and Membership data in Net Forum. As requested, provide administrative support to the Council liaisons. When directed by management, perform other assignments and duties as required.
RELATIONSHIPS Reports to Director of Networks. Interfaces with all departments. Interfaces with Association members and prospective members.
PRIMARY SKILLS & REQUIREMENTS Team player who is willing to embrace new ideas and demonstrate an ability to change and grow as required by the position. Excellent at building relationships 4-year college degree with a strong background in Project Management or communications. Prior experience as project coordinator and/or volunteer management. Prior experience working for a nonprofit organization or association. Demonstrated proficiency in all Microsoft Office software Knowledge of Project Gantt Chart and project toolkits Previously held a project kickoff meeting Strong willingness to learn new software programs is required. Experience with association management. Process all external and internal requests within a 24-hour time period during weekdays. Skilled communicator with strong organizational abilities. Travel requirements up to 10%.
